Find where money leaks out of your operations

Singularity Intelligence Systems builds custom tools that show small and medium-sized businesses where what something should cost and what it actually costs drift apart. We start inside the systems you already use, Microsoft 365 or Google Workspace, and we are based in Highland Village, TX, in Dallas–Fort Worth, working with clients worldwide.

What this service is

Most owners know roughly what a job, a location or a product line should cost. The harder question is where the real cost moves away from that, and why. The answer is usually already sitting in your data. It is spread across spreadsheets, accounting exports, scheduling tools and your CRM, and nobody has the time to line it all up every week.

We build a tool that does that lining up for you. It compares what each job, location or product line should cost against what it did cost, shows the gap, and points to where the gap comes from. You get a clear view you can act on, not another report that sits unread.

Signs money is leaking

  • Jobs or orders look profitable when you quote them and thin when you close them out.
  • One location, crew or product line seems to run hotter than the rest, but you can't say exactly where.
  • Month-end numbers surprise you, and the explanation takes days of digging.
  • Your team rebuilds the same spreadsheet by hand to answer the same question.
  • Your software holds the data, but nothing ties it together.

If any of these sound familiar, the gap is probably measurable. The work is getting the data into one place and calculating it the same way every time.

You can buy a suit off the rack and have it tailored. Or you can have the perfect bespoke suit built for you, the one that fits like nothing else and dominates the room.

Most businesses run on off-the-rack software, altered until it almost fits. We build bespoke: tools cut to your business, your data and the way your team works.

What we build

This is not a product you install. Every tool is built for one business, around its own data, systems and questions. Most builds include some version of the following, shaped to fit.

A comparison of planned against actual

For each job, location or product line, the tool sets what it should have cost next to what it did cost, and shows the difference.

A ranking of where the gaps are biggest

Instead of scanning every line, you see which ones matter most first.

The reason behind each gap, where the data shows it

Labor, materials, time, returns, rework: the tool breaks a gap down into the pieces your data can support, and says plainly when it can't.

Built where your team already works

The results land in Microsoft 365 or Google Workspace, so nobody has to learn a new system to use them.

Code for the numbers

Every total, variance and ranking in the tool is calculated by code, and tests check that code. We do not ask an AI model to produce a figure you will make a decision with. A number you act on should come out the same way every time you run it.

AI still has a place. For market and business intelligence, such as reading what competitors are doing or summarizing what the numbers show, AI is often the right tool, and we use it there. We tell you which part of the tool does which job.

How it works

  1. A free consultation

We talk through where you think money is slipping and what systems you use today. You talk to the founders, not an account manager.

  2. A look at your data

We find out what your systems already record and what is missing. Sometimes the answer is that a gap can't be measured yet, and we tell you that before you spend anything.

  3. We build inside your systems

We start in your own Microsoft 365 or Google Workspace accounts. When a job needs more than those tools can do, we build on platforms of ours and tell you exactly what runs where.

  4. We check the numbers

Before you rely on the tool, the calculations are tested against your own records so you can see they hold up.

  5. You use it

How often it updates, what it watches and who sees it are set for your business during the build. You see where money is leaking without rebuilding a spreadsheet.

Where your data goes

We build in your own accounts whenever we can. When data is too sensitive to send to a cloud AI service, the AI can run on hardware you control instead. Either way, we explain what runs where before anything is built.

Who this is for

Small and medium-sized businesses are our niche. This service fits a business that has real operating data, more than one job, location or product line to compare, and an owner who wants to know where the money goes without hiring a data team.

It is built by business professionals, not a software shop. We spent our careers inside the numbers. Now we build the tools we wished we'd had.

Questions business owners ask us

What does this service find?

Where what a job, a location or a product line should cost drifts away from what it did cost, and where that gap comes from.

Do we have to switch software?

No. We start inside Microsoft 365 or Google Workspace. If a job needs more, we build on platforms of ours and explain why.

Does AI calculate our numbers?

No. Code calculates the totals, variances and rankings, and tests check them. AI is used where it is the right tool, such as market and business intelligence.

What if our data is sensitive?

The AI can run on hardware you control instead of a cloud service, and we build in your own accounts whenever we can.

What does it cost?

It depends on your systems and what you want to measure, so we don't publish prices. The first conversation is a free consultation.
